How to Use

  1. Enter your target daily volume. This is the steady-state number you need to reach — the whole schedule is derived from it.
  2. Enter your engaged list size. Use the count of contacts who have opened or clicked in the last 90 days, not your total subscriber count. This is what the sufficiency check tests against.
  3. Pick a start date and sending days. Choose weekday-only if that matches how your audience behaves.
  4. Choose your risk posture. Conservative if you are recovering reputation or cannot afford a block; aggressive only if you have clean data and headroom to pause.
  5. Set your IP count. The per-IP column updates so you know what each address is actually carrying.

Frequently Asked Questions

What is IP warm-up and why is it necessary?
A brand new sending IP has no history, and mailbox providers treat no history as a reason for suspicion rather than a clean slate. Warm-up is the practice of raising volume gradually so filters can build a positive reputation profile from real engagement signals — opens, clicks, replies, and a lack of complaints. Send 200,000 messages from a cold IP on day one and the pattern looks exactly like a spam operation, because that is what spam operations do.
How long does warming up an IP take?
Typically two to six weeks. The driver is your target daily volume, not a fixed calendar. Reaching 10,000 a day usually takes around two weeks; 500,000 a day can take five or six. A conservative ramp with a lower daily multiplier takes longer but risks far less, and a single blocking event costs more days than the entire cautious schedule would have.
Should I warm the IP or the domain?
Both, and they are separate reputations. The IP is the network address you send from; the domain is what appears in the From header and the DKIM signature. Gmail in particular leans heavily on domain reputation, so a fresh domain on a well-warmed IP still needs its own ramp. If both are new, warm them together on the same schedule and change nothing else while you do it.
What volume should day one be?
Small enough that a mistake is cheap. Fifty to a few hundred messages is normal for most senders, sent only to your most engaged contacts. The exact number matters far less than the shape of the curve and who you send to. If your list cannot supply a few hundred genuinely engaged recipients, you have a list problem to fix before you have a warm-up problem.
How fast can I increase volume each day?
Most schedules increase by 50% to 100% per sending day early on, then flatten as absolute volume grows. Doubling from 100 to 200 is trivially safe; doubling from 200,000 to 400,000 is not, because the absolute jump is what filters notice. This planner applies a decaying multiplier for exactly that reason — aggressive early, cautious once the numbers get large.
Who should I send to during warm-up?
Your most engaged contacts first, in strict order. Start with people who opened or clicked in the last 30 days, then extend to 90 days, then 180, and only bring in dormant contacts once reputation is established — if at all. Warm-up is a reputation-building exercise, and reputation is built from positive engagement, so front-loading your best recipients is the entire strategy.
Should I send on weekends?
Consistency matters more than the specific days, but abrupt gaps do not help. If your business only sends on weekdays, plan a weekday-only ramp and keep it steady — this planner supports that. What genuinely hurts is an erratic pattern: 50,000 one day, nothing for four days, then 80,000. Filters read that as unpredictable, and unpredictable is a negative signal.
How do I split volume across multiple IPs?
Divide the daily target evenly and warm every IP in parallel on the same curve, which is what this planner calculates. Do not warm one IP to full volume and then start the next from zero — you get one warmed IP and a pool that still cannot absorb your sends. Remember that a pool of five IPs means each one individually accumulates only a fifth of the reputation history in the same period.
What metrics tell me to slow down?
Watch complaint rate, bounce rate, and inbox placement daily. Complaints above 0.1% mean stop increasing immediately; Google Postmaster Tools flags anything above 0.3% as serious. Hard bounces above 2% suggest a list hygiene problem, not a warm-up problem. Any deferrals or 4xx throttling responses from a specific provider mean hold that provider at the current volume until they clear.
What should I have in place before day one?
SPF, DKIM and DMARC aligned and passing; reverse DNS on the sending IP matching your sending domain; a monitored postmaster and abuse mailbox; a functioning one-click unsubscribe; Google Postmaster Tools and Microsoft SNDS registered; and a suppression list that actually suppresses. Warm-up amplifies whatever your configuration already is, so authentication errors get worse, not better, as volume grows.
