What documents are commonly required for an export shipment?
The core export documents are a commercial invoice, a packing list, a transport document such as a Bill of Lading or Airway Bill, and a certificate of origin (COO). Depending on the product and destination you may also need an export licence, an inspection certificate, a certificate of analysis or quality, a health or phytosanitary certificate, an insurance certificate, and import-specific documents required by the destination country.
Which countries require a Certificate of Origin (COO)?
Most countries accept a COO, and many require it to determine the applicable tariff or to claim preferential treatment under a Free Trade Agreement (for example, India’s FTAs with ASEAN, Japan, Korea, Singapore, Australia and UAE). The COO must normally be issued by an authorised chamber of commerce and sometimes legalised or certified.
Do I need an export licence?
Most general goods do not need an export licence, but controlled or restricted items do. Regulated products include certain pharmaceuticals, some chemicals, dual-use goods, defence items, precious metals and items subject to sanctions or quotas. A Certificate of Analysis (COA) confirms that a product meets a specified quality or specification, often issued by the manufacturer or a laboratory. An Inspection Certificate is issued by an independent third-party inspection agency (such as SGS, Bureau Veritas or Intertek) confirming that the goods were inspected for quantity, quality, loading or conformity — and is often required by the buyer or an LC.
